JOB RESPONSIBILITIES:

Perform a full range of advanced and complex administrative assignments in a dynamic and fast-paced environment with frequent interruptions and conflicting priorities which require independent judgment and follow-through.
Responsible for day-to-day office operations, such as managing building issues, coordinating with multiple stakeholders, office coordination, shipping, and delivery ordering supplies and equipment, document management, supporting, and welcoming visitors, fielding general phone inquiries, and other routine and complex administrative tasks.
Will be the first line of contact for visitors, independently answering inquiries and providing appropriate assistance.
Liaise with facility management vendors, including repairs, cleaning, catering, and security services.
On-site meeting support including technical media support and hotel bookings.
Track all vacation and sick leave German, European, and non-European employees.
Ability to be self-motivated and flexible, exercising discretion and mature judgment in handling confidential business sensitive and/or classified information and personnel interactions.
Assist with special projects (e.g., Holiday preparations for all EU employees)
Perform multi-related administrative duties as assigned.

QUALIFICATIONS:

Bachelor’s degree is preferable.
At least 3 additional years of professional experience (in a smaller company with a large overview)
Organized and able to multi-task.
High communication and negotiation skills – both written and oral
Team Player
Target-oriented mode of operation
German – mother language
English – professional level
Additional other European languages as Italian, and Spanish.
Profound knowledge of Office applications (Outlook, Word, Excel, PowerPoint)
The job may at times require extensive sitting and long work hours.
